We just rolled out a new feature in JobTracker! If you’re using printable packets that include editable PDF documents, read on…
If you’re working with a builder, dealer, or big-box store who sends you PDF documents, occasionally some of the fields on those forms are “editable”, which means that the company or homeowner can fill them out directly in the PDF. There’s not need to print things out and fax or scan them back. For most people, those PDF’s get converted to static documents, but if you’re attaching editable files, you’ll need to treat them carefully.
It’s been possible to add PDF documents to a printable packet for a while, but in cases where the fields are editable, and if you’re printing out a packet that includes several of those fields, the data would be duplicated.
Now, it’s possible to print those out with the correct data. But, you’ll need to check a box in the packet. To set it up, click the Calendar menu, and choose Edit Settings. Then, choose Activity Packets, on the left. Click on the name of the packet you want to edit, and choose the first option (Edit…).
Now, click on the PDF file you want to edit in the packet, and choose Edit… There’s a check-box for Convert form fields to read-only.
Hey, I didn’t say it was easy. For static PDF files, JobTracker just attaches them to the other PDF file we create. If you check that box, the software actually touches the underlying PDF file, which is a bit more intrusive. So, unless you know you’ve got editable PDF’s, it’s probably better not to check that box.
